West Forsyth Band Fans

• Fill water jugs at athletic center and transport to the field

• Ensure each student has their own refillable water bottle or give them a disposable water to refill

• Fill snack bags (as needed to prepare for competitions):

  • salty/sweet and drink

  • snack items are located in Mr. Shoemaker’s office and small locked cabinet (empty bags also here)

• Take medical bag to field

• Collect individual student medical bags for safekeeping

• Introduce yourself to the students — be aware they will still seek assistance from any known band parent or anyone wearing a band tee

• Take medical bag on the bus and to the game and ensure it is stocked with some extra water

• Fill a cooler with ice (from athletics) and water/gatorade bottle to bring to the event — load onto trailer if room or load on the bus

• Follow student call times/loading times for your arrival

• Wear comfortable clothing and shoes and be prepared to walk

• Introduce yourself to the students — be aware they will still seek assistance from any known band parent or anyone wearing a band tee at the event

• Take medical bag on the bus and to the game and ensure it is stocked with some extra water

• Collect individual student medical bags for safekeeping

• Bring the sewing kit on the bus, which includes: spare pins, socks, gloves and wrist wear

• Ensure extra black socks are in the sewing kit and refill as needed — they are located in the uniform closet

• Assist with uniform inspections and repair

• Make sure students receive snack bags — these should be packed and ready in the band office but be prepared to pack if needed

• Fill cooler with ice (from athletics) and water/gatorade bottles to take to competition — load on trailer if there is room or load on the bus

• Save your receipts and complete an expense report for reimbursement if you buy anything on the road — it does happen from time to time if a student or chaperone forgets an item, etc.

Watch for volunteer pit/prop call time on Mr. Shoemaker’s schedule. Some volunteers choose to meet at the venue based on their schedules or can follow the buses and trailer to the event.

⮕ Unload trailer of instruments and props and build props upon arrival — use the sandbags on the boat props even when staged to avoid further deterioration due to falls

⮕ Move props to staging area at designated time on competition schedule

There is a prop repair kit in the trailer for touch-ups and missing components.

SHOW TIME:

We are timed getting on and off the field. Please wear your show shirt if you enter the competition field. 

⮕ Lower drum major platform when in transit and place on level ground

⮕ Help students move larger pit items as needed — students manage this for the most part but we have some heavy speakers and pit instruments. 

⮕ Students will place boat props. Volunteers follow and place sand bags on boat prop stands. Please move quickly so guard can place flags behind the boat.

⮕ Power on blower motor in fire pit (2 round buttons must be powered on — first turns on the unit and second when lit up green indicates it will blow air — Guard will have this in place and plugged in.

⮕ Watch and assist with scaffolding as needed — students will be in charge and place, but depending on field conditions they might need help.

⮕ Help with removal of props following same process as above and watch for any forgotten or dropped items on the field

⮕ Load props and instruments at the end of each performance (return pit instruments to band room if you are volunteering at a home game.)
